This Policy explains how PartnerBridge uses artificial intelligence, the safeguards and limitations that apply, and the responsibilities of customers and authorised users.

Effective Date: 6 August 2026

Version 1.1. The wording below is the complete PartnerBridge AI Transparency and Acceptable Use Policy.

Introduction

PartnerBridge Ltd (“PartnerBridge”, “we”, “our” or “us”) uses artificial intelligence and related automated technologies to support the delivery of certain PartnerBridge products and services.

This AI Transparency and Acceptable Use Policy (“Policy”) explains:

  • how artificial intelligence is used within the PartnerBridge Services;
  • the role of AI-generated and AI-assisted outputs;
  • how Customer Content may be processed through AI-enabled functionality;
  • the safeguards and limitations applicable to that processing;
  • the responsibilities of customers and authorised users; and
  • the uses of PartnerBridge AI functionality that are prohibited.

PartnerBridge is committed to developing and operating AI-enabled functionality responsibly, transparently and in a manner consistent with applicable law, customer expectations and the design principles of the Services.

This Policy should be read alongside the applicable:

Where this Policy forms part of an agreement between PartnerBridge and a customer, a breach of this Policy may constitute a breach of that agreement.

PartnerBridge AI Principles

PartnerBridge develops and operates AI-enabled functionality according to the following principles:

  • Evidence before generation. AI supports structured evidence rather than replacing it.
  • Human accountability. Customers and users remain responsible for business decisions.
  • Transparency. Users should understand when AI has materially contributed to an output.
  • Privacy by design. Customer Content is processed only as necessary to provide, secure, support and maintain the Services.
  • Security by design. AI-enabled functionality is developed and operated with appropriate technical and organisational safeguards.
  • Continuous improvement. PartnerBridge reviews AI-enabled functionality and seeks to improve quality, reliability, security and safety over time.

About PartnerBridge

PartnerBridge provides software that helps organisations research, evaluate, prioritise and develop technology partnerships.

The Services combine structured business evidence, customer-provided information, deterministic evaluation processes and AI-assisted functionality to support technology partnership strategy.

PartnerBridge products may include:

  • RelateIQ;
  • Precision Insights;
  • Activate;
  • the Technology Partnership Strategy Engine;
  • associated customer portals and APIs;
  • evidence-generation and recommendation functionality; and
  • other PartnerBridge-operated software and services.

The specific AI-enabled features available may vary by product, subscription, account configuration and stage of product development.

Purpose of AI Within the Services

PartnerBridge uses AI to assist with the interpretation, organisation and presentation of business information.

Depending on the feature used, AI may support activities such as:

  • summarising business information;
  • extracting relevant information from uploaded documents;
  • classifying evidence;
  • identifying themes or relationships within evidence;
  • structuring unstructured information;
  • explaining analytical outputs;
  • generating draft reports or recommendations;
  • supporting search and discovery;
  • identifying potential commercial or technology relationships;
  • producing draft playbooks or strategic materials; and
  • assisting users in navigating the Services.

AI is used as a supporting capability within a broader evidence-backed analytical system.

PartnerBridge does not represent AI-generated content as infallible, complete or independently authoritative.

Evidence, Deterministic Outputs and AI-Assisted Outputs

PartnerBridge distinguishes between:

  • source evidence;
  • deterministic evaluations;
  • calculated or rules-based outputs; and
  • AI-assisted interpretations or generated content.

Where the Services use deterministic logic, scoring rules, eligibility requirements or other fixed evaluation methods, AI does not alter those outputs unless the relevant product documentation expressly states otherwise.

AI may be used to:

  • explain a deterministic output;
  • summarise the evidence supporting an output;
  • organise findings;
  • identify gaps or uncertainties;
  • generate draft recommendations based on available evidence; or
  • present information in a more useful format.

AI-assisted explanations and recommendations do not replace the underlying evidence or deterministic result.

Where an AI-assisted output conflicts with authoritative source evidence or a deterministic output, the source evidence and deterministic output shall take precedence.

Decision Support and Human Responsibility

PartnerBridge Services are designed to support business decision-making.

They do not replace the professional judgement, commercial assessment or legal responsibility of the customer or user.

Customers and users remain responsible for:

  • reviewing outputs before relying upon them;
  • validating material facts;
  • considering relevant commercial context;
  • obtaining appropriate legal, financial, technical or professional advice;
  • deciding whether to pursue or reject a partnership opportunity;
  • determining whether generated recommendations are suitable for their organisation; and
  • ensuring that their use of the Services complies with applicable law.

AI-generated outputs should not be treated as the sole basis for decisions that may have legal, financial, regulatory, employment or similarly significant consequences.

No Solely Automated Significant Decisions About Individuals

PartnerBridge is designed primarily to analyse organisations, products, technologies, commercial relationships and business evidence.

PartnerBridge does not intend its Services to be used to make decisions producing legal or similarly significant effects on individuals solely through automated processing.

The Services are not designed to determine an individual’s:

  • eligibility for employment;
  • access to credit;
  • insurance eligibility;
  • healthcare treatment;
  • educational admission;
  • access to housing;
  • access to public services;
  • legal rights; or
  • entitlement to other essential services.

Customers must not use PartnerBridge AI functionality to make such decisions unless:

  • PartnerBridge has expressly approved that use in writing;
  • the use is lawful;
  • all required risk assessments and safeguards have been completed; and
  • meaningful human oversight is maintained.

PartnerBridge provides AI-enabled decision support and does not intend the Services to make significant decisions about individuals without meaningful human involvement.

If PartnerBridge introduces functionality capable of making significant decisions about individuals by automated means, PartnerBridge will assess that functionality under applicable data protection law and implement any required transparency, assessment, human-review and challenge safeguards before making it available for such use.

Scope of this Policy

This Policy applies to:

  • all AI-enabled functionality made available through the Services;
  • prompts, instructions and other inputs submitted to AI-enabled functionality;
  • outputs generated or assisted by AI;
  • Customer Content processed through AI-enabled functionality;
  • use of PartnerBridge APIs that invoke AI-enabled functionality;
  • demonstrations, trial accounts and evaluation environments; and
  • all customers, authorised users, employees, contractors and other persons using the Services.

This Policy applies whether AI functionality is provided directly by PartnerBridge or through an approved third-party technology provider acting on PartnerBridge’s behalf.

Definitions

For the purposes of this Policy:

“AI” or “Artificial Intelligence” means machine-based systems, models or technologies capable of generating, classifying, summarising, analysing or otherwise processing information to produce outputs.

“AI-Assisted Output” means any content, analysis, recommendation, explanation, classification or other output generated wholly or partly through AI-enabled functionality.

“Authorised User” means an individual permitted by a customer to access or use the Services.

“Customer Content” means information, documents, prompts, datasets, files and other materials submitted to the Services by or on behalf of a customer or Authorised User.

“Deterministic Output” means an output generated through fixed rules, calculations, requirements or logic that is intended to produce the same result when supplied with the same relevant inputs.

“Evidence” means source information collected, submitted or generated in support of an analysis, subject to the confidence, provenance and limitations associated with that information.

“Services” means the PartnerBridge software, websites, applications, APIs and associated services to which this Policy applies.

“User” means any person who accesses or uses the Services.

Customer Content and AI Processing

PartnerBridge may process Customer Content using AI-enabled functionality where necessary to provide the Services requested by the Customer.

Depending on the feature being used, AI processing may include:

  • extracting relevant information from uploaded documents;
  • summarising documents or datasets;
  • identifying technologies, products or organisations;
  • classifying evidence;
  • generating structured representations of unstructured information;
  • drafting reports or recommendations;
  • identifying potential technology partnership opportunities;
  • supporting natural language search;
  • generating explanations of analytical results; and
  • other AI-assisted functionality made available within the Services.

AI processing of identifiable Customer Content is performed only as necessary to provide, secure, maintain and support the Services requested by the Customer.

PartnerBridge may use aggregated or effectively anonymised information that does not identify a Customer or individual to evaluate and improve the usability, reliability and performance of the Services.

PartnerBridge does not claim ownership of Customer Content submitted for AI processing.

Data Protection Roles

Where PartnerBridge processes personal data contained in Customer Content solely to provide AI-enabled functionality requested by a Customer, PartnerBridge generally acts as a Processor or Sub-processor on behalf of that Customer, as applicable.

The Customer remains responsible for:

  • determining the lawful basis for the relevant Processing;
  • providing required privacy information to affected individuals;
  • ensuring that it has authority to submit the personal data;
  • responding to Data Subject or consumer requests; and
  • determining whether the intended use requires a Data Protection Impact Assessment, risk assessment or other regulatory review.

PartnerBridge’s obligations when acting as a Processor or Sub-processor are governed by the applicable Data Processing Addendum.

Where PartnerBridge independently determines the purposes and means of Processing personal data, PartnerBridge acts as a Controller as described in its Privacy Policy.

Third-Party AI Providers

Certain AI-enabled functionality may be provided using carefully selected third-party AI providers acting on PartnerBridge’s behalf.

Where third-party providers process Customer Content:

  • PartnerBridge remains responsible for the provision of the Services to the Customer;
  • providers are selected based on technical capability, security and contractual commitments;
  • appropriate contractual safeguards are implemented where required by applicable law;
  • Customer Content is disclosed only to the extent reasonably necessary to deliver the requested functionality; and
  • PartnerBridge seeks to ensure that Customer Content is processed only for the purposes authorised by PartnerBridge.

PartnerBridge’s current material AI Sub-processors are identified in the applicable Data Processing Addendum or publicly available Sub-processor List.

PartnerBridge may change AI providers in accordance with the Sub-processor appointment and notification provisions of the applicable Data Processing Addendum.

AI Model Training

PartnerBridge recognises that customers expect control over their confidential business information.

Unless expressly instructed and agreed otherwise in writing:

  • PartnerBridge does not use Customer Content to train general-purpose, publicly available or shared foundation models;
  • PartnerBridge does not include Customer Content in public or shared AI-training datasets;
  • PartnerBridge requires third-party AI providers processing Customer Content on its behalf not to use that Customer Content to train general-purpose, publicly available or shared models; and
  • Customer prompts, uploaded documents and generated outputs are processed only as necessary to provide, secure, support and maintain the Services, subject to the applicable Agreement and Data Processing Addendum.

PartnerBridge may use aggregated or effectively anonymised operational information to improve the performance, reliability, security or usability of the Services, provided that the information does not identify and is not reasonably capable of being used to re-identify any Customer or individual.

Pseudonymised information remains personal data and will continue to be protected in accordance with the applicable Privacy Policy and Data Processing Addendum.

Retention and Deletion

Customer prompts, uploaded content and AI-Assisted Outputs are retained in accordance with:

  • the applicable customer Agreement;
  • Customer account configuration;
  • the PartnerBridge Data Processing Addendum;
  • the PartnerBridge Privacy Policy; and
  • applicable legal, security and backup-retention requirements.

PartnerBridge does not retain Customer Content within third-party AI services for longer than is necessary to provide the relevant functionality, subject to the technical operation and contractual terms of the applicable provider.

Customer Content will be returned or deleted following termination in accordance with the applicable Agreement and Data Processing Addendum.

Confidentiality

PartnerBridge recognises that Customer Content may contain commercially sensitive information.

Accordingly:

  • Customer Content is treated as confidential in accordance with the applicable customer agreement;
  • access to Customer Content is limited to authorised personnel with a legitimate business need;
  • technical and organisational security measures are implemented to protect Customer Content;
  • AI processing does not reduce PartnerBridge’s confidentiality obligations; and
  • confidentiality obligations continue after termination of the applicable customer agreement, subject to applicable law.

Nothing in this Policy grants PartnerBridge any right to publicly disclose Customer Content except where required by law or expressly authorised by the Customer.

Data Minimisation

PartnerBridge designs AI-enabled functionality to process only the information reasonably necessary to deliver the requested capability.

Customers should avoid submitting information that is unnecessary for the intended analysis.

Unless PartnerBridge has expressly approved the relevant Processing in writing, Customers and Authorised Users must not submit:

  • special category personal data;
  • criminal offence data;
  • protected health information;
  • payment card information;
  • government-issued identity documents;
  • passwords, private keys or authentication credentials;
  • personal data relating to children; or
  • information that the Customer is legally or contractually prohibited from disclosing.

If such information is submitted inadvertently, the Customer must notify PartnerBridge promptly. PartnerBridge may restrict Processing, quarantine the relevant content or require its deletion where reasonably necessary to manage legal, security or privacy risk.

Accuracy and Limitations

AI-assisted outputs are probabilistic rather than deterministic.

Although PartnerBridge seeks to provide accurate and useful outputs, AI-generated content may:

  • contain inaccuracies;
  • omit relevant information;
  • misinterpret context;
  • reflect limitations in underlying source information;
  • produce incomplete summaries; or
  • generate recommendations that are unsuitable for a particular commercial context.

Customers should independently review material outputs before relying upon them.

Where available, authoritative source evidence should be treated as the primary reference.

Where deterministic outputs and AI-assisted outputs differ, deterministic outputs and supporting evidence take precedence.

Human Oversight

PartnerBridge is designed so that AI supports human decision-making rather than replacing it.

Customers remain responsible for evaluating AI-assisted outputs in light of:

  • their commercial objectives;
  • their internal governance;
  • legal and regulatory requirements;
  • contractual obligations;
  • technical considerations; and
  • independent professional judgement where appropriate.

PartnerBridge encourages users to critically assess AI-assisted outputs before acting upon them.

Human review is particularly important where an output may materially influence:

  • commercial strategy;
  • partnership selection;
  • procurement;
  • contractual negotiations;
  • investment;
  • product strategy;
  • regulatory compliance;
  • legal analysis; or
  • another significant business decision.

Continuous Improvement

PartnerBridge reviews AI-enabled functionality and may undertake activities intended to improve its quality, reliability, security and safety.

This may include:

  • improving prompts and workflows;
  • evaluating output quality;
  • refining evidence extraction techniques;
  • reducing hallucinations and factual inaccuracies;
  • improving transparency of AI-generated content;
  • strengthening security and privacy controls;
  • enhancing explainability; and
  • adopting improved AI technologies where appropriate.

Such improvements are intended to enhance the quality of the Services without altering Customer ownership of Customer Content or reducing the privacy protections described in this Policy.

Transparency and Explainability

PartnerBridge believes that users should understand when artificial intelligence has materially contributed to an output.

Where reasonably practicable, the Services distinguish between:

  • source evidence;
  • deterministic outputs;
  • AI-assisted summaries;
  • AI-generated recommendations; and
  • other AI-assisted content.

Where AI has materially generated, transformed or influenced an output, PartnerBridge will provide an appropriate indication through the product interface, documentation or other notice, except where the AI involvement would be obvious to a reasonable user from the context.

Where an output relates to an identifiable individual and may materially affect that individual, PartnerBridge and the Customer will provide any additional transparency required by applicable law, according to their respective data-protection roles.

Where available, users should review the supporting evidence before relying on AI-assisted outputs.

PartnerBridge continually seeks to improve the transparency and explainability of AI-enabled functionality as the Services evolve.

Provenance of Information

The quality of AI-assisted outputs depends upon the quality, completeness and reliability of the underlying information.

PartnerBridge may combine information from sources including:

  • Customer Content;
  • publicly available business information;
  • structured evidence collected through the Services;
  • deterministic analytical outputs;
  • Customer configuration and preferences; and
  • other information lawfully available to the Services.

Where source information is incomplete, conflicting or unavailable, AI-assisted outputs may reflect that uncertainty.

Public availability does not necessarily mean that information falls outside data protection law. Where publicly available information contains Personal Data, PartnerBridge will Process it only for a defined lawful purpose and in accordance with the applicable Privacy Policy and Data Processing Addendum.

Customers should consider the provenance, confidence and completeness of supporting evidence before making significant business decisions.

Bias, Fairness and Responsible AI

PartnerBridge recognises that AI systems may produce outputs that reflect limitations in training data, source information or statistical inference.

Accordingly, PartnerBridge seeks to:

  • reduce systematic bias where reasonably practicable;
  • evaluate AI-assisted functionality for quality and consistency;
  • improve factual accuracy over time;
  • minimise misleading or unsupported conclusions;
  • encourage evidence-based recommendations;
  • avoid presenting speculative conclusions as established facts; and
  • continuously improve the reliability of AI-enabled functionality.

PartnerBridge does not represent AI-assisted outputs as objective truth.

Customers remain responsible for exercising independent judgement when interpreting recommendations or analyses.

Customer Responsibilities

Customers are responsible for ensuring that:

  • they have the legal right to submit Customer Content to the Services;
  • Customer Content does not infringe the rights of third parties;
  • confidential information is uploaded only where authorised;
  • appropriate internal approvals have been obtained where required;
  • AI-assisted outputs are reviewed before implementation;
  • decisions are not based solely upon AI-generated content where additional review would reasonably be expected; and
  • use of the Services complies with applicable laws, regulations and contractual obligations.

Customers remain responsible for decisions they make using the Services and for applying appropriate human judgement to AI-Assisted Outputs. Nothing in this Policy excludes or limits PartnerBridge’s obligations under the applicable Agreement or applicable law.

PartnerBridge Responsibilities

PartnerBridge is responsible for:

  • operating AI-enabled functionality in accordance with this Policy;
  • implementing reasonable technical and organisational safeguards;
  • protecting Customer Content in accordance with applicable agreements;
  • maintaining appropriate contractual safeguards with AI service providers where required;
  • monitoring AI-enabled functionality for quality, reliability and security;
  • responding appropriately to identified defects or material issues; and
  • continually improving the transparency and trustworthiness of the Services.

Nothing in this Policy guarantees that AI-assisted outputs will always be complete, accurate or suitable for every use case.

21A

Impact and Risk Assessments

PartnerBridge evaluates material new or substantially changed AI-enabled functionality for privacy, security, fairness and operational risks before deployment where appropriate.

PartnerBridge will conduct a Data Protection Impact Assessment or other legally required risk assessment where the proposed Processing is likely to result in a high risk to individuals or where an assessment is otherwise required by applicable law.

PartnerBridge may require Customers to provide information reasonably necessary to assess a proposed use case. Customers remain responsible for conducting assessments required in relation to their own purposes and use of the Services.

Reporting AI Issues

Customers are encouraged to report:

  • inaccurate AI-generated outputs;
  • misleading recommendations;
  • unexpected behaviour;
  • inappropriate or offensive content;
  • suspected security concerns;
  • potential privacy issues;
  • suspected bias; or
  • other concerns relating to AI-enabled functionality.

Reports help PartnerBridge improve the quality, safety and reliability of the Services.

Reports may be submitted using the support channels identified on the PartnerBridge website.

PartnerBridge will assess reported issues in proportion to their severity and may take corrective, technical, operational or product action where appropriate.

High-Risk Uses

PartnerBridge is designed primarily to support technology partnership strategy and related commercial decision-making.

The Services are not designed, tested or intended for use as the primary basis for decisions involving:

  • employment or recruitment;
  • employee performance management;
  • educational admissions;
  • creditworthiness;
  • insurance underwriting;
  • healthcare diagnosis or treatment;
  • emergency response;
  • criminal justice;
  • law enforcement;
  • immigration decisions;
  • eligibility for public benefits; or
  • other activities where incorrect outputs could reasonably result in significant harm to individuals.

Customers and Authorised Users must not use the Services in connection with the activities listed above unless PartnerBridge has expressly approved the specific use case in writing and the parties have entered into any additional contractual, technical and data protection arrangements required by PartnerBridge.

Any approved use must maintain meaningful human oversight and comply with all applicable legal and regulatory requirements. PartnerBridge may refuse or withdraw approval where it reasonably determines that the use presents unacceptable legal, privacy, safety or security risks.

Regulatory Compliance

PartnerBridge intends to develop and operate AI-enabled functionality in a manner consistent with applicable laws and recognised principles relating to artificial intelligence, privacy and information security.

As legal and regulatory frameworks evolve, PartnerBridge may update its AI governance practices, technical safeguards and this Policy to reflect new requirements and industry best practices.

Nothing in this Policy limits any rights or obligations arising under applicable law.

24A

California Privacy

To the extent the California Consumer Privacy Act, as amended by the California Privacy Rights Act, applies:

  • PartnerBridge does not sell Customer Content or share Customer Content for cross-context behavioural advertising;
  • where PartnerBridge Processes Customer Personal Information as a Service Provider or Contractor, its Processing is governed by the applicable Data Processing Addendum;
  • PartnerBridge will provide reasonable assistance to Customers responding to applicable California consumer-rights requests; and
  • PartnerBridge will implement any required notices, assessments and consumer controls before introducing functionality that uses automated decision-making technology to make significant decisions about California consumers.

California consumers may exercise applicable privacy rights as described in the PartnerBridge Privacy Policy.

Acceptable Use

Customers and Authorised Users may use AI-enabled functionality only for lawful business purposes and in accordance with:

  • this Policy;
  • the applicable Agreement;
  • applicable laws and regulations; and
  • any product-specific documentation published by PartnerBridge.

Customers are responsible for ensuring that individuals using AI-enabled functionality within their organisation understand and comply with this Policy.

Prohibited Uses

Customers and Authorised Users must not use the Services or AI-enabled functionality to:

  • violate applicable law or regulation;
  • infringe intellectual property rights;
  • submit content that they do not have the legal right to use or disclose;
  • generate or distribute malicious software;
  • facilitate fraud, deception or identity theft;
  • engage in phishing, spam or other abusive communications;
  • generate unlawful, defamatory, discriminatory or harassing content;
  • circumvent security controls or access restrictions;
  • interfere with the operation or security of the Services;
  • attempt to discover confidential model prompts, internal instructions or security mechanisms through prompt injection or other manipulation;
  • use automated techniques to extract, scrape or reproduce substantial portions of the Services except where expressly authorised;
  • use the Services to develop or improve competing products through systematic extraction of AI outputs;
  • represent AI-generated content as having been independently verified where it has not;
  • use the Services for any high-risk or significant individual decision prohibited under Section 23 without PartnerBridge’s express prior written approval; or
  • use the Services in any manner that could reasonably damage PartnerBridge, its customers or other users.

PartnerBridge may investigate suspected misuse and take appropriate action consistent with the applicable Agreement and applicable law.

Suspension and Enforcement

PartnerBridge may suspend or restrict access to AI-enabled functionality where it reasonably believes that:

  • this Policy has been materially breached;
  • use of the Services presents a security risk;
  • use of the Services presents a legal or regulatory risk;
  • continued access may adversely affect the availability, integrity or security of the Services;
  • a third-party provider requires suspension to address security, legal or operational concerns; or
  • suspension is necessary to comply with applicable law or a lawful request from a competent authority.

Where reasonably practicable, PartnerBridge will notify the affected Customer before suspension or as soon as reasonably possible afterwards.

PartnerBridge will use reasonable efforts to restore access once the relevant issue has been resolved.

Intellectual Property

Nothing in this Policy transfers ownership of Customer Content.

Subject to the applicable Agreement:

  • Customers retain ownership of their Customer Content;
  • PartnerBridge retains ownership of the Services, software, models, methodologies, documentation, interfaces and other intellectual property developed or owned by PartnerBridge; and
  • AI-assisted outputs are governed by the intellectual property provisions contained in the applicable customer agreement.

This Policy does not grant either party ownership of the other party’s intellectual property.

Relationship with Other Agreements

This Policy forms part of the contractual framework governing the Services.

Where there is any inconsistency between this Policy and the applicable Agreement:

  • the Data Processing Addendum shall govern matters relating to the Processing of Personal Data;
  • the Privacy Policy shall govern PartnerBridge’s activities as a Controller;
  • the applicable Agreement or Order Form shall govern commercial terms; and
  • this Policy shall govern the use of AI-enabled functionality except where mandatory law requires otherwise.

Changes to this Policy

Artificial intelligence technologies, legal requirements and industry standards continue to evolve.

PartnerBridge may update this Policy from time to time to:

  • reflect changes to the Services;
  • introduce new AI-enabled functionality;
  • address legal or regulatory developments;
  • improve security or governance practices;
  • reflect changes in third-party AI providers; or
  • improve clarity and transparency.

The “Last Updated” date at the beginning of this Policy indicates when the current version became effective.

PartnerBridge will provide reasonable prior notice of material changes where required by law or the applicable Agreement.

A change that materially reduces Customer protections or materially expands Customer obligations will apply to an existing fixed contractual term only where permitted by the applicable Agreement or accepted by the Customer, except where the change is required by applicable law.
